Privacy Policy

We collect as little personal data as we can, use it only to respond to you and work with you, and never sell it.

Last updated:

1. Who we are

This website is operated by Reofex Technologies ("Reofex", "we", "us", "our"), a software company based in India that builds SaaS products, AI and automation solutions and custom software.

For personal data collected through this website and through enquiries you send us, Reofex is the Data Fiduciary under the Digital Personal Data Protection Act, 2023 ("DPDP Act"): we decide why and how that data is processed.

2. What this policy covers

This policy applies to personal data we process when you:

  • visit this website;
  • contact us through the contact form, by email, on WhatsApp or through our social media profiles;
  • discuss, request or receive a proposal for our services or products.

Data you or your organisation put into one of our products is covered by that product's own terms and privacy policy — see section 12.

3. Personal data we collect

Information you give us

WhereWhat we receive
Contact formYour name, email address, company (optional), the topic you select and your message. When you submit the form, it opens WhatsApp — or your email app, if you choose "Send by email instead" — with these details filled in as a message to us. Nothing is sent until you press Send in that app, and the form itself doesn't store your details on our website.
EmailYour email address, name and anything you include in the message or its attachments.
WhatsApp ("Get Started" and the contact form)If you message us on WhatsApp, we receive your WhatsApp phone number, profile name and the messages you send, including any details from the contact form.
Business discussionsContact details and business information you share with us while we scope or deliver work.

Please don't send us sensitive personal data (such as financial, health or government ID information) or confidential business information through the contact form or WhatsApp. If a project requires it, we'll agree a secure method with you first.

Information collected automatically

Like any website, the servers that deliver this site record standard technical information when pages are requested — such as IP address, browser type, the page requested and the date and time. This is used only to deliver the website, keep it secure and diagnose problems.

We do not use analytics, advertising pixels, session recording or fingerprinting on this website.

4. How we use it and why

We process personal data only for the purposes below:

PurposeBasis under the DPDP Act
Replying to your enquiry and continuing the conversation you startedYour consent, given when you contact us, or a use you voluntarily provided the data for
Preparing proposals and providing services you requestYour consent / steps you ask us to take
Operating, securing and troubleshooting the websiteLegitimate uses permitted under the DPDP Act
Meeting legal, tax and accounting obligations, and responding to lawful requestsCompliance with law

We do not sell personal data, use it for third-party advertising, or add you to marketing lists without asking. If we'd like to send you updates in future, we'll ask for your consent separately, and you can withdraw it at any time.

5. Cookies and tracking

This website does not set cookies and does not use analytics or advertising trackers. Our fonts and images are served from our own website, not from third-party services.

When you use the footer's "Start a conversation" field, your email address is kept temporarily in your browser's session storage so it can be filled into the contact form. It is not sent to us until you submit the form, and it's cleared once the contact page reads it or when you close the tab.

If we ever introduce cookies or analytics, we will update this policy and ask for consent where required.

6. Who we share it with

We share personal data only where needed for the purposes above, with:

  • Service providers that help us run our business — such as website hosting, email and, if enabled, a form-delivery service. They process data on our instructions and under confidentiality obligations.
  • Meta Platforms (WhatsApp), when you choose to message us on WhatsApp, including through the contact form. WhatsApp's own terms and privacy policy apply to your use of WhatsApp.
  • Professional advisers (such as lawyers and accountants) where necessary.
  • Authorities, where we are required to by law, court order or lawful request, or to protect our rights, users or the public.
  • A successor business, if Reofex is involved in a merger, acquisition or sale of assets — in which case this policy will continue to apply to your data.

Links on this website to our product sites, social media profiles (LinkedIn, Instagram, GitHub) and other third parties are governed by those parties' own privacy policies.

7. Where data is stored

Some of our service providers may store or process data outside India. Where this happens, we transfer data only as permitted under the DPDP Act, including any restrictions notified by the Government of India, and we take reasonable steps to ensure it remains protected.

8. How long we keep it

We keep personal data only for as long as it's needed for the purpose it was collected for — for example, for the duration of an enquiry and any resulting business relationship — and then delete it, unless we need to keep it longer to meet legal, tax or accounting requirements or to resolve disputes.

If an enquiry doesn't lead to further contact, we periodically delete it. You can ask us to delete your data sooner at any time (see section 10).

9. Security

We use reasonable security safeguards to protect personal data against unauthorised access, loss, misuse or alteration, including encrypted connections (HTTPS) and restricted access to the systems that hold enquiries. No method of transmission or storage is completely secure, but we work to protect your data and will notify you and the Data Protection Board of India of a personal data breach where the law requires us to.

10. Your rights

Under the DPDP Act, you have the right to:

  • Access a summary of the personal data we hold about you and how we process it;
  • Correct, complete or update inaccurate or incomplete data;
  • Erase your data where it's no longer needed or you withdraw consent, unless the law requires us to keep it;
  • Withdraw consent at any time — this won't affect processing that already took place;
  • Grievance redressal — to raise a complaint with us about how your data is handled;
  • Nominate another person to exercise these rights on your behalf in the event of death or incapacity.

To exercise any of these rights, email info@reofex.com. We may need to verify your identity before acting on a request. If you're not satisfied with our response, you may complain to the Data Protection Board of India.

11. Children

This website and our services are intended for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, please contact us and we will delete it.

12. Our products

Our products — Respondly, Reofex Growth, Reofex Sync and Fynex — have their own terms and privacy information, which apply when you use them.

When a business uses our products to process its own customers' or employees' data, that business is the Data Fiduciary and Reofex processes the data on its behalf and on its instructions. Fynex is self-hosted: it runs on the customer's own infrastructure, and the customer controls that data.

13. Changes to this policy

We may update this policy as our website, products or the law change. The "Last updated" date at the top shows when it was last revised. If we make significant changes, we'll make that clear on this page.

14. Contact and grievance officer

For questions about this policy, to exercise your rights or to raise a grievance, contact our Grievance Officer:

Grievance Officer, Reofex Technologies
Email: info@reofex.com

We will acknowledge your grievance promptly and aim to resolve it within 30 days, or within any shorter period required by law.
